I have long been a supporter of creating and maintaining a comprehensive list of do’s and don’ts. I consider this to be one of the most important things for the productivity of personal tools.
If you are a true list compiler, this is a topic worth considering that will really improve your current system. If you’re not a born list maker, I recommend that you develop this very clever habit!
In this article, I want to describe a little my way of getting out of a paper to-do list so that Outlook tasks are used as my main to-do list. I want to describe some of the benefits of using a to-do list in Outlook and make you wonder if this might be something you could consider to better manage your time and improve your results at work.
Of course, there are many ways to keep a to-do list besides work, which I know a lot. Consider the following list of subscribers:

Whichever system you use, a good to-do list system should at least do the following:
- Include all your tasks
- Easy to update
- Remind your family of the deadlines as soon as they become known.
- Just check the action elements.
- Easy to keep you wherever you are
- Help manage your priorities
Paper To Electronic
Last year I started thinking about how to keep my to-do list and realized that I was prone to some inconsistency. Some of my tasks were on my to-do list and some were on my notebook.e. Sometimes I made a list for each of our days or weeks, and sometimes I could not, and just started with my previous list.
I know that some people make lists by nature, but I’ve never been like that. So I made a commitment to using Outlook Tasks as a to-do list as often as possible, and by the end of the year, I was pretty much exhausted. At the beginning of this year, I realized that I was fully converted. Now I can say that my Outlook to-do list is my best to-do list.
Benefits Of An Electronic To-do List
I have found that using an electronic to-do list like MS Outlook or even Lotus Notes has real benefits:
- You only need to register once
- You can specify a due date and easily change the date.
- The list can be sorted in different ways (for example, by date, priority, or category).
- It was much more difficult to lose
- You will never forget this!
- You can edit the issue or add notes at any time.
- You can send hyperlinks to online information ordocuments attached to your PC / network.
- You can sync your list to fit your phone / smartphone.
- You can assign tasks that other people can do and keep track of men and women.
- You can tag emails or turn yourself into tasks on your to-do list.
We spend so much time managing email on our computers and smartphones that I can make sure I’m taking full advantage of our email program and trying to use you to maintain a to-do list or task function. Most people use Outlook MS of course (although Lotus Notes is still used in some organizations). And the good news is that the two related programs have a to-do or to-do list that is very helpful.
From Paper To Electronics
When I moved from a paper list to an electronic list, the key for me was to be able to customize my list so that it was easy to manage. The document aimed to make it easy to see the correct deadlines and, especially, to easily arrangeь priorities on my list. It should also be easy to edit. I didn’t want to publish my list every day, but took some time to quickly switch to my own list, adjusting to changing circumstances and priorities.
Fortunately, with a few minor changes, I was able to fully customize the Outlook List Task to fit my standards.
Outlook is a great time management tool, especially if you don’t know how powerful it is. First of all, the functions of tasks or to-do lists are least used; There should be no truth in my ideas and opinions. The reason the Lotus Notes to-do list cannot be changed in the usual way, but it is still very effective.
Results
What is the difference between a task and a To Do list in Outlook?
The task is … the task. This is the Outlook bit that is stored in the Tasks folder. A task is any Outlook item that has been marked for tracking, usually marked as sent, and any requests in the to-do folders in the assortment. The to-do list doesn’t really collect the highlighted tasks or items.
After spending a full year with the mailing list, I’m probably fair to say that getting things done on time saved me valuable time and improved my consistency.
Also, I never go to rewrite my list and lose the task for no reason once the idea is chosen. Now I make my list regularly. Mine is still available. ANDSometimes I just need to change a few appointments to prioritize and update my to-do list.
I can now create my takeaway playlist to plan my most important online tasks in more detail. I can include tables with detailed action plans for each task. I can get used to logging in online and include all my shortcuts in the task I started. It saves me valuable time researching facts and figures and improves overall group productivity and time management.
Customize Outlook Task List
How do I make Outlook tasks stay organized?
Move from inbox to clutter Drag emails from your Inbox to your Clutter folder and Outlook will automatically learn how to move those messages to your Clutter folder in the future. You can also right-click these items, select Move -> Move Out of Queue.
I find that “pulling out of this special box” in Outlook is not very useful or conducive to creating good lists, but with some modifications; it needs to be customizable to be a pretty powerful productivity tool for you. However, I have found that many people do not know how to do this. (You don’t remember what you don’t know, do you?)
In my Outlook Productivity Training I show people who can help you set this up and then take care of it properly. It’s a little annoying, although technicallyOutlook savvy users probably do this pretty quickly. You can also see in the image below (which is actually a snapshot of today’s to-do list) that I have created a very detailed to-do list that appears in front of me when I meet with my calendar or inbox calendar in Outlook.

Notice how I can easily see tasks and due dates. You may also notice how I prioritized writing articles. Therefore, my entries on this list are undoubtedly grouped by date and processed in order of priority. I even added a colorful touchpad to a few items to put them at the top of my list. As soon as I suggest a “done” I-task, mark it as complete and it will be saved in my Completed list. (Very useful feature!)
Finally, I recommend that you give your email to-do list a try and see if it helps you manage your time more effectively.
